The candidate should have a strong proficiency with computer systems and be able to work well independently. The ideal candidate will have at least 1 year of experience working in a real estate law firm, along with strong organizational skills and attention to detail. Knowledge of accounting, particularly trust accounting, is considered required. As a key member of our team, the office administrator will play a crucial role in managing office operations and providing administrative support to our legal professionals. The office administrator must exercise proven strengths in interpersonal management, taking initiative, discretion, professionalism, and judgment in carrying out the position’s functions and adding value to the organization.Job RequirementsEducation: A university degree or college diplomaLanguage used at work: English. Knowing another language is considered an asset.Experience: 2-3 years’ experience as an office administrator or similar, with a minimum of 1 year working at a law firm practicing Real Estate. Experience in working at a law firm specializing in civil litigation is considered an asset. Must have at least 1 years’ experience: Using Clio to open and manage legal files. With trust accounting. With Quickbooks. Tasks: Oversee and co-ordinate office administrative procedures Establish work priorities and ensure procedures are followed and deadlines are met Administer the client database and ensure compliance with Law Society of British Columbia regulations Co-ordinate with clients to schedule meetings and court dates Maintain an efficient file management system and bring forward system Schedule trials, applications, examinations for discovery, and other matters Maintain office supplies inventory and ordering supplies when necessary. Assist with maintenance of legal precedents and templates database Arrange travel, related itineraries and make reservations Open new files, complete conflict checks, close file and prepare physical files if needed Oversee accounts receivable, accounts payable, and trust accounting Manages accounts payable to ensure proper and timely payment and recording of expenses. Manages accounts receivable to ensure proper and timely receiving and recording of revenue. Completes cheque runs and prepares cheques for mailing Perform all data entry of client receipts and disbursement Computer and technology knowledge: MS Word, Office, Excel as well as PowerPoint and Outlook Adobe QuickBooks Clio BC Online, MyLTSA, and BC Registry Qualifications Highly organized, with the ability to prioritize tasks, in order to meet deadlines. Proficiency in utilizing legal software platforms including Clio, BC Online, MyLTSA, and BC Registry. Handle confidential information in an ethical and professional manner. Strong customer service and relationship building skills. Knowledge of legal accounting practices and terminology. Excellent analytical and problem-solving skills. Comfortable working in the digital space as our administrative process is paperless. A self-starter with the ability to work independently, take initiative and exercise sound judgment.
