RESPONSIBILITIES: Lead standard administrative duties by preparing correspondence, reports, speeches, and presentations that echo and amplify ROM's mission. Utilize your expertise in calendar coordination to ensure the senior executive is always prepared, briefed, and equipped with the necessary documentation for each engagement. Your precision and foresight enable our leadership to shine and our mission to advance. Reimagine and refine administrative procedures to boost efficiency and effectiveness. Your role in crafting and editing crucial documents and producing captivating presentations will be pivotal in presenting ROM’s endeavours in the best light possible. Collaborate across departments to orchestrate events that underscore ROM’s dedication to cultural exchange and education. Your leadership in these efforts will not only ensure seamless execution but also elevate ROM’s stature in the global community. Manage our executive team's domestic and international travel arrangements with meticulous attention to detail. Your adept planning ensures that ROM’s leadership can engage with global partners and communities without hindrance, furthering our international collaborations. Vigilantly oversee and manage budgetary accounts, ensuring every dollar is aligned with ROM’s financial objectives and mission goals. Your stewardship of resources reflects our commitment to accountability and fiscal prudence. Act as the crucial link between the executive and a broad spectrum of stakeholders, including government agencies and ROM’s diverse community partners. Your adept communication fosters collaboration and ensures that inquiries and initiatives are handled with tact and insight, supporting ROM’s overarching goals. Keep comprehensive information files meticulously organized and readily accessible, ensuring the executive can access critical data and financial reports immediately. Your management of these resources supports informed decision-making and strategic planning, underpinning the museum’s mission to educate and inspire. QUALIFICATIONS: A university degree in Business, Cultural Studies, or a related field is required. Equivalent combinations of education and experience will also be considered. This foundational knowledge is crucial for understanding and contributing to our mission. Candidates must have at least five years of experience in a senior administrative role and demonstrate a record of increasing responsibility and achievement. Experience in environments where growth and impact are key will be highly valued. Proficiency in MS Office and Adobe software is essential. The role requires creating, managing, and presenting various content and data effectively, necessitating high competence in these tools. Exceptional organizational ability, including executive schedules and anticipatory planning management, is required. The ideal candidate will be adept at navigating a dynamic work environment and can prioritize and manage multiple tasks efficiently. Strong problem-solving skills and the ability to exercise sound judgment in complex situations are essential. Candidates should demonstrate the capacity to take initiative, respond proactively to challenges, and work effectively under pressure, ensuring smooth and efficient operations.
