Position Overview Scheduling associates are responsible for organizing and managing the schedules of resources, whether they are personnel, equipment, or vehicles. This includes assigning tasks or appointments, optimizing routes, and ensuring efficient utilization of resources. Scheduling/Dispatch associates play a crucial role in ensuring the efficient allocation and coordination of resources to support operational objectives. They need to be organized, detail-oriented, and capable of multitasking in a fast-paced environment. Strong communication skills, problem-solving abilities, and a customer-focused mindset are essential for success in this role. Accountabilities Scheduling Service Appointments Following the ready to book jobs in salesforce (Jobs that are ready to be scheduled) Checking all promise dates for required parts/products Reviewing job address zone and finding available appointment times Contacting customer to obtain/provide availability based on zone booking options and tech availability Booking the job in Salesforce for the technician and in the shared calendar for the zone Prioritizing VIP customers staying within or better than set KPI’s Planning/Scheduling out of town job runs Rescheduling Accommodating rush/Emergency appointments. Rescheduling/moving appointments to a different date based on customer requirement, internal requirement, or weather conditions. Internal Departmental communication/Meetings/Training Daily team WIP (work in progress) meeting Strategic meetings regarding large jobs to make sure we are accounting for correct quantity of crew and skillset. Education High school diploma or equivalent Experience 2+ Years experience in a fast paced scheduling/dispatch position considered an asset Organizing work requests, customer requests, completed work requests Communication with end users (customers) via phone, email, and text.
